D For Dispatch LLC ("we", "us", "our") operates dfordispatch.com and provides independent truck dispatch and administrative support services to motor carriers. This notice explains what personal and business information we collect, why we collect it, how long we keep it, and the choices available to you.

1. Information we collect

• Enquiry details you submit through our contact form, by email, phone, or WhatsApp: name, business name, phone number, email address, equipment type, and preferred lanes.
• Carrier onboarding documents provided after you engage us: USDOT and MC authority details, certificates of insurance, W-9 tax forms, carrier packet paperwork, and factoring or payment remittance details.
• Operational records created while we dispatch for you: rate confirmations, bills of lading, proofs of delivery, accessorial notes, and correspondence with brokers.
• Technical data automatically recorded by our hosting provider, such as IP address, browser type, and pages visited, used only for security and basic traffic measurement.

2. Why we use it

• To respond to enquiries and prepare a service quote.
• To set up carrier packets with brokers and shippers on your behalf, under your written authorisation.
• To book, coordinate, and document loads, and to support invoicing and factoring hand-off.
• To meet legal, tax, accounting, and record-keeping obligations in the United States.

We do not sell personal information, and we do not use your carrier documents for marketing.

3. Who we share it with

We share only what is necessary, only with parties involved in moving your freight or running our business:

• Freight brokers, shippers, and receivers, for carrier setup and load booking that you have approved.
• Your factoring company, where you have asked us to route invoices and paperwork to them.
• Service providers acting on our instructions, such as email hosting, cloud document storage, website hosting, form processing, and accounting software.
• Banks and payment processors, to invoice and collect fees for our services.
• Government agencies, auditors, or legal advisers where disclosure is required by law.

4. Sensitive documents

Tax forms such as the W-9, government identification, and banking details must not be sent through the public website form. We request these over a secure channel once an agreement is in place. Where we hold them, access is limited to staff who need them for onboarding, invoicing, or compliance.

5. How long we keep information

Enquiries that do not become clients are deleted within 12 months. Client operational records and financial documents are retained for at least seven years from the end of the engagement, to satisfy US tax and commercial record-keeping requirements, and are then securely destroyed.

6. Security

We use access-controlled cloud storage, password protection, and encrypted transmission for documents we receive. No system is perfectly secure, so please do not send sensitive documents through unencrypted channels when we have offered a secure alternative.

7. Your choices and rights

You may ask us to confirm what information we hold about you, correct it, delete it where we are not required to keep it, or stop contacting you. Residents of California and other US states with applicable privacy laws may exercise the rights those laws provide, including the right to know, delete, and opt out of any sale or sharing of personal information. We do not sell or share personal information for cross-context behavioural advertising. Email info@dfordispatch.com and we will respond within 45 days.

8. Cookies

This website uses only cookies and local storage that are necessary for the site to work, including remembering your light or dark theme preference. We do not run third-party advertising trackers.

9. Children

Our services are for businesses. We do not knowingly collect information from anyone under 18.

10. Changes

If we update this notice we will change the effective date above and post the revised version on this page.
